The Complete Guide

Everything Scayled Does, Start to Finish.

Every screen, every step and the tips that matter, from your first scan to working a live market signal. Use the menu to jump to any feature.

From One Listing To Conversations And Meetings

Six minutes on how industrial and logistics teams use Scayled: one listing canvassed and target scanned, the emails sent from Gmail, then signals, Ask Scayled, Occupier News and the database. Jump to the part you need.

Quick Start: How Scayled Works, End To End

Read this one section and you will understand the whole product: what the two scans are and when to use each, what a credit buys, how outreach actually sends, and what happens after someone replies. Everything else in this guide is detail on top of what follows.

The one-minute version
  • 1Scan a property and Scayled returns up to 30 businesses most likely to want it. Two scan types: the businesses around it, or the best fit across the market, planned for you from your listing link or brochure.
  • 2Reveal the decision-maker at the ones worth contacting. One credit each, and you pick who is worth it.
  • 3Write one email. Scayled personalises it for every occupier and sends it from your own inbox. Sending is free and unlimited.
  • 4Everything you scan stays monitored, so businesses that start moving come back to you as signals.

The five stages, end to end

The whole product. Only reveals cost credits; sending, replies and monitoring are free.

The five stages, in plain terms

  1. 11 · Scan a propertyYou give Scayled an address. It returns up to 30 businesses, saved to your database permanently. There are two kinds of scan and the difference matters, which is covered next.
  2. 22 · Reveal a decision-maker (1 credit each)A scan gives you companies. Revealing gives you the person: a named decision-maker with a verified email. You choose who is worth a credit, one at a time.
  3. 33 · Send outreach (free)You write one email. Scayled personalises it for every occupier and sends it from your own inbox. Unlimited, no credit cost.
  4. 44 · Record what comes back (free)Replies land in your normal inbox. You set the occupier's status and write a note, which is what keeps your pipeline accurate.
  5. 55 · Stay monitored (free)Every business you have ever scanned is watched. When one expands, contracts or relocates, it surfaces as a scored signal and you have a fresh reason to make contact.
02

Which scan to run

The single most common question is which scan to run. They answer two different questions, and picking the wrong one is the usual reason results disappoint.

Neighbour Scan asks who is nearby. Target Scan asks who would actually want it.

Choosing between them

  1. 1Run a Neighbour Scan whenYou have a listing and want the classic canvass: every business around it, closest first. This is the fast one, about five minutes, and it is where most people should start.
  2. 2Run a Target Scan whenProximity is not the point. You want the occupiers across the whole market whose operations genuinely suit the building, each with a written reason. Paste the listing link or add the PDF brochure and Scayled plans the scan for you. About ten minutes, because every company is researched.
  3. 3Run both whenThe property is hard to let. The neighbours give you speed, the targets give you fit, and together they are usually 60 businesses rather than 30.
Watch out
  • On a Neighbour Scan you pick Logistics & Industrial or Office, and that choice changes the search radius. Office narrows it to find more businesses in a dense pocket; Logistics & Industrial widens it. Choosing the wrong one is the most common cause of a disappointing scan.
03

How sending actually works

Sending is where people expect complexity and there is not much. You write one email, Scayled fills in the details per occupier, and it goes out from your own address.

app.scayled.com
1 · You write once

  2. 2Tokens fill themselvesTheir first name, their address, your property, its size and price are inserted per recipient. The live preview shows you exactly what the first person receives.

Your first hour

Do these five things, in this order

  1. 11 · Set your detailsSettings: your name, company, measurement unit and email signature. Do this before you send anything, because the unit changes how every size reads in your outreach.
  2. 22 · Run one Neighbour ScanUse a listing you already have. Pick the property type honestly and add every size option the unit can be split into. Results in about five minutes.
  3. 33 · Reveal five decision-makersNot thirty. Pick the five occupiers that genuinely suit the space, and choose Operations, Property, Facilities or Managing Director over any other role.
  4. 44 · Send to those fiveLeave the default template close to as-is. Read the preview, then send.
  5. 55 · Come back on MondayCheck Territory Intelligence for signals, and record any replies with a status and a note.
Tips
  • Scans run in the background. You can close the tab and the results will be waiting.
  • Nothing is ever deleted. Every business you scan stays in your database and stays monitored, so coverage compounds with every scan you run.
  • Opening dialogs, browsing, filtering and exporting are always free. Only revealing costs credits.

What Scayled Does

Scayled turns a property address into the businesses most likely to move, the person to contact at each one, and personalised outreach ready to send. Then it keeps watching your market so new opportunities surface on their own, without you searching for them.

The one-minute version
  • 1Scayled finds the businesses most likely to want a property, names the person who decides, and prepares the outreach.
  • 2It replaces the slow manual canvass that good brokers have always done by hand.
  • 3Everything you find is saved permanently and monitored, so your coverage compounds.

If you have never used a tool like this, here is the simplest way to think about it. Good brokers have always done the same thing by hand: work out which businesses might want a property, find out who runs them, and get in touch before anyone else does. That work is slow, so most people only ever do a little of it. Scayled does the slow part for you and hands you the conversations.

01

The words we use

The words we use

  1. 1OccupierAny business that occupies a commercial property. The tenant or owner-occupier actually operating from a building. In Scayled, every business we find is an occupier.
  2. 2Decision-makerThe named person at that business who decides on property. Usually Operations, Property, Facilities or the Managing Director. Not the info@ inbox.
  3. 3ScanOne search around a property. A Neighbour Scan finds who is nearby; a Target Scan finds who would want it. Each costs credits and returns up to 30 businesses.
  4. 4SignalEvidence that a business is about to move, grow or shrink. Scayled watches for these continuously and scores them.
  5. 5TerritoryYour patch. Everything you have scanned, held on one live map and monitored for you.
  6. 6CreditThe currency inside Scayled. Revealing a contact costs credits. Everything else is free.
02

The product in four moves

The whole product in four moves

  1. 11 · Scan a propertyGive Scayled an address. A Neighbour Scan maps the businesses around it, which is the classic canvass. A Target Scan searches the wider market for the occupiers most likely to want it, with a written reason for each.
  2. 22 · Reveal the decision-makerA company name is not a lead. Spend one credit and get the named person and their verified email address.
  3. 33 · Send personalised outreachWrite one email once. Scayled fills in each occupier's name, their address, your property and its size, then tracks what comes back.
  4. 44 · Let the market come to youEvery business you scan stays monitored. When one expands, relocates or reaches a lease event, it appears as a signal, often before the requirement reaches the open market.
Tips
  • You do not need to finish anything in one sitting. Scans run in the background; you can close the tab and come back.
  • Nothing is ever thrown away. Every business you scan is saved permanently, so your coverage grows with every scan you run.
  • If you only do one thing on day one, run a Neighbour Scan on a listing you already have. It takes about five minutes.

Credits & Plans

Credits are the only currency in Scayled, and they buy one thing: revealing a decision-maker. Everything else, including all your outreach, your database, your notes and your market signals, is free and unlimited.

The one-minute version
  • 1Only one thing costs credits: revealing a decision-maker (1 each).
  • 2Outreach, replies, notes, the database, signals and exports are all free and unlimited.
  • 3Credits reset each cycle and work on any property.
  • 4New accounts start with a 72-hour free trial: 20 credits and two scans, enough for a Target Scan and a Neighbour Scan on your first listing.

Your balance sits in the left rail. Only scans and reveals cost anything.

A worked example. Say you have 300 credits in a month. You run eight scans across your listings. All 300 credits go on reveals, so you reveal 300 decision-makers and email all of them. Nothing else in that month costs you anything.

01

How credits behave

How credits behave

  1. 1They reset each billing cycleYour allowance refreshes with your plan. They are not tied to a particular listing, so spend them wherever the opportunity is.
  2. 2You always know your balanceYour remaining credits sit at the bottom of the left rail, visible on every screen.
  3. 3Reveals are one at a timeYou are never charged for a batch. You look at the list, decide who is worth contacting, and pay per person.
  4. 4You never pay twiceOnce a contact is revealed, it stays revealed for good, on every listing that business appears against.
  5. 5Failed scans are refundedIf a scan cannot complete, the credits go back. You are not charged for something that did not run.
Tips
  • Reveal selectively. Look at the role first: an Operations or Property lead is worth a credit, a generic listing usually is not.
  • Scans are the better value of the two. One scan can produce 30 businesses that stay in your database and get monitored for signals forever.
  • Only need one property worked? The Campaign runs one listing or vacancy for you, paid once: 250 to 350 matched businesses with the decision-maker and a written approach for each, loaded into your account for you to send.

The Dashboard

Neighbour Scan

Map every business around a property. Use it when you have a listing and want to canvass the surrounding occupiers, the way a good broker always has, but in five minutes instead of a week.

The one-minute version
  • 1Maps every business around a property, closest first. About five minutes.
  • 2The property type you choose sets the search radius, so choose it honestly.
  • 3Add every size the unit can be split into, so your outreach reads as a range.
01

Running the scan

Running a Neighbour Scan

  1. 1Open the Outreach WorkspaceClick Outreach Workspace in the left rail, then Canvass A Listing on the Canvass The Neighbours panel.
  2. 2Choose the property typeLogistics & Industrial expands the scan radius to find more occupiers across the area. Office reduces the radius to find more businesses in a dense pocket. This choice changes your results, so pick honestly.
  3. 3Enter the addressStart typing and pick the match. If the address will not resolve, use Pin it on the map instead.
  4. 4Confirm the sizeIf we hold data for the property we pre-fill the building and land area. Check it and correct it if needed.
  5. 5Add more size optionsIf the property can be split or combined, click Add another size option. Your outreach will then read as a range, for example 2,000 to 10,000 SQ.FT, instead of a single figure.
  6. 6Set pricing and runAdd the asking price (or hide it from outreach), then run the scan. Results land in about five minutes.
app.scayled.com
What are you listing?
Logistics & Industrial
Expands the scan radius to find more occupiers in the area. Recommended for industrial listings.
Office
Reduces the scan radius to find more businesses in the pocket. Recommended for office listings.

Neighbour scans take around 5 minutes. Every occupier found then feeds the live signals on your Territory Intelligence, refreshed every fortnight.

The property type choice sets the scan radius, so it materially changes your results.
Tips
  • Multiple size options are the single most under-used feature. Adding them widens the pool of occupiers your listing suits.
  • Every occupier found is added to your Occupier Database and monitored for signals from then on.
  • Hide from outreach keeps the asking price in the app but out of your emails.
Watch out
  • Choosing Office for an industrial listing (or the reverse) narrows or widens the radius the wrong way and is the most common cause of disappointing results.

Target Scan

Instead of asking who is nearby, a Target Scan asks who would actually buy or lease this property, anywhere in the market. You give it the listing, as a link or the PDF brochure, and Scayled works out who to target, writes the email, and ranks every business by fit with a written reason.

The one-minute version
  • 1Give it the listing: paste the link, or add the PDF brochure. Scayled reads the property for you.
  • 2It writes a Target Plan: who takes the space, what size of company, and the email. You check it, then run it.
  • 3About ten minutes. Every business comes back ranked by fit, with the reason and the decision-maker.
01

Running a Target Scan

From listing to results

  1. 11 · Open itOutreach Workspace → Find Buyers Or Tenants. The same scan runs from the Target Scan panel's New Target Scan button.
  2. 22 · Give it the listingPaste the listing link, or press Add PDF Brochure (or drop the PDF onto the box). A green tick means Scayled has read it, and shows the address it found. No link or brochure? Describe the property in your own words instead: address, size, sale or lease, anything you know.
  3. 33 · Build Target PlanScayled reads the listing and plans the scan: the property as it understands it (address, sale or lease, size), who takes it and why, the kinds of business to target, the company size, and the opening of the email.
  4. 44 · Check the planThis is your one chance to steer. Remove a segment that is wrong, add one you know works, change the company size, and read the email opening. If the sale or lease, or the size, is wrong, go back and correct the listing.
  5. 55 · Run Target ScanIt runs in the background for about ten minutes. Results land in your Outreach Workspace, ranked by fit, each with the reason it suits your property.
02

Links and brochures

What reads, and what to do when a link will not

  1. 1Links that read bestcommercialrealestate.com.au, trademe.co.nz and loopnet.com, plus most agency websites. LoopNet links are read through the property's address.
  2. 2Links that are blockedSome portals, including realcommercial and Crexi, block automated reading. When that happens you will see why. Add the PDF brochure instead, or open the listing, select all, copy and paste it into the box. Pasted text always works.
  3. 3The PDF brochureAlways works, and it is the most complete source: Scayled reads every page, including tables, spec panels and site plans. It separates land from building area, and an existing tenant from space that is actually available, and flags any figures in the brochure that do not add up.
Tips
  • Your own notes count. Type anything the listing does not say (who you think takes it, a tenant who just left, a local quirk) alongside the link and it is weighed heavily.
  • Check the plan's property line before you run. Sale versus lease, and the building size, drive who gets targeted.
  • The plan also writes the opening of your email, in one sentence. A personal line about why each business fits follows it automatically.
  • Prefer the old form? The Legacy tab in the same window still has the step-by-step version with Best Suited For and Broker Insight.
Watch out
  • A plan built from the wrong listing targets the wrong businesses. If the address or size in the plan is not your property, go back and add the brochure rather than running it.

Reading Your Results

The Outreach Workspace is where every scan you have ever run lives. Neighbour Scans on the left, Target Scans on the right, one row per property, each showing exactly how far through it you are.

The one-minute version
  • 1Every scan you have run lives in the Outreach Workspace, one row per property.
  • 2The counter (0 / 29 emailed) is your completion for that property.
  • 3Neighbour results are distance-ordered, Target results are fit-ordered. Work them accordingly.

Reading a row

What a row is telling you

  1. 1The address and sizeThe property you scanned, with its size and when the scan ran. Older scans are worth re-running if the market has moved.
  2. 2The progress counterSomething like 0 / 29 emailed. The first number is how many occupiers you have contacted, the second is how many the scan found. This is your completion for that property.
  3. 3The company logosA quick visual of who was found, with a +N chip for the rest. Useful for recognising at a glance whether the scan found the right kind of business.
  4. 4The send buttonTakes you straight into outreach for that property.
  5. 5The ... menuRename or edit the listing's details, re-scan it, or remove it.
02

Working each scan type

How to work each type

  1. 1Neighbour Scan resultsOrdered by distance from your property. Work outward from the closest, because proximity is the strongest reason a business will care about your listing.
  2. 2Target Scan resultsRanked by fit, with a written reason for each. Work top down, and read the reason before you contact them: it is the line you should be using in your email.
Tips
  • The panel header shows your totals across all properties, for example 0 / 57 occupiers and 57 left. That is your whole month's work in one number.
  • A property showing 0% is not a failed scan, it just means you have not started the outreach yet.
  • Re-scanning a property you scanned months ago will pick up businesses that have moved in since.

Revealing Decision-Makers

A scan gives you companies. Revealing turns a company into a person: a named decision-maker with a verified email address, for one credit. This is the step that makes everything else possible, because you cannot send meaningful outreach to a company name.

The one-minute version
  • 1A scan gives you companies. Revealing gives you a named person and a verified email.
  • 2One credit each, charged one at a time, so you only pay for contacts you actually want.
  • 3Choose by role: Operations, Property, Facilities or Managing Director beat a senior title with no property influence.

Fifteen available does not mean reveal fifteen. Pick the person who decides on property.

Unlock shows who is available at that business. You pay per person, so choose the decision-maker.

Most business websites only publish a generic address like info@ or enquiries@. Those inboxes are screened and rarely reach anyone who decides on property. Revealing skips that and gives you the individual.

01

How to reveal someone

How to reveal someone

  1. 1Find the occupierIn the Occupier Database, or in the results of any scan, look at the Contacts column. You will see a link like Unlock 15 contacts, which means fifteen people at that business are available.
  2. 2Open the listClick it to see who is there, with their job titles. Scayled ranks the most likely property decision-maker first.
  3. 3Choose the right personPrefer Operations, Property, Facilities, Managing Director or a Regional Director. Skip roles with no property influence, however senior they sound.
  4. 4RevealOne credit gets you that person and their verified email, saved permanently against the occupier.
02

What you get back

What you get back

  1. 1A name and a verified emailVerified means the address has been checked as deliverable, so your outreach is far less likely to bounce.
  2. 2A direct mobile, sometimesWhere one is available it is shown alongside. Your dashboard counts these under Direct mobiles found.
  3. 3A permanent recordThe contact is attached to that occupier for good, and appears everywhere that business shows up.
Tips
  • Fifteen available contacts does not mean reveal fifteen. One good decision-maker beats five junior names.
  • Once revealed, the occupier appears in Ready to Send on your dashboard until you actually email them. That is the cheapest work in the app, because the credit is already spent.
  • If a business has a live signal, reveal it first. You have a genuine reason to call.
Watch out
  • Revealing does not send anything. It only gives you the contact. Outreach is a separate, free step, so nothing leaves your account by accident.

Writing Your Outreach

You write one master email. Scayled personalises it for every occupier using tokens, and shows you a live preview of exactly what the first person will receive.

The one-minute version
  • 1You write one master email. Scayled personalises it for every occupier.
  • 2It sends from your own inbox, under your domain, so replies come back to you.
  • 3Always read the live preview. If a token shows literally, that occupier is missing data.

Using the editor

How the editor works

  1. 1Insert tokensClick a token to drop it into the subject or body: First name, Their address, Your address, Size, Unit, Price, Purpose, Your name.
  2. 2Edit freelyThe subject and body are yours to rewrite. The default template is a strong starting point, not a rule.
  3. 3Watch the previewThe right panel renders your email against a real occupier, so you can see the tokens resolve before anything sends.
  4. 4Review and sendStep 2 lets you check the list before anything leaves. Step 3 confirms what was sent.
TokenBecomes
{{firstName}}The decision-maker's first name
{{address}}Your listing's address
{{theirAddress}}The occupier's own address
{{area}}Where the occupier operates, as a broker would say it (a suburb, or DIP, JLT)
{{size}} / {{unit}}Your listing's size and unit
{{sizeClause}}A full phrase: "and it's approximately 52,752 SQ.FT", or a range when you added multiple size options
{{purpose}}Lease or sale
{{price}}Asking price, unless you hid it
Tips
  • We recommend keeping the default template close to as-is. It is deliberately short and it performs.
  • If you added multiple size options on the scan, {{sizeClause}} automatically reads as a range. That one change widens who your listing suits.
  • Set your email signature once in Settings and it is applied for you.
Watch out
  • Always read the preview before sending. If a token shows literally, for example {{firstName}}, that occupier is missing the underlying data.

  4. 4Add them all to DraftsEvery email lands in your Drafts folder, personalised, with your signature. Nothing sends until you send it.
Tips
  • In the UAE and Saudi Arabia, where businesses rarely have a usable street address, the default email names their area the way brokers say it (DIP, JAFZA, JLT, Al Quoz) instead of an address.

Replies & Pipeline

Replies come back to your own inbox, exactly as they would from any email you send. What Scayled adds is a place to record what each reply meant, so your pipeline reflects reality instead of living in your head.

The one-minute version
  • 1Replies land in your own inbox, exactly as with any email you send.
  • 2Set the status and write a note. Two seconds, and it is what keeps your pipeline true.
  • 3A reply that is not a yes is still worth recording. Most requirements arrive months later.

Setting a status here is what drives your dashboard pipeline. Nothing else updates it for you.

When a reply lands, set the status. This is what keeps your pipeline honest.

This is the step people skip, and it is the reason a dashboard can look empty during a good month. Scayled marks an occupier as Emailed automatically when you send. Everything after that is yours to record, and it takes about two seconds per reply.

01

When a reply lands

What to do when a reply lands

  1. 1Open the occupierFind the business in your Occupier Database and open it. You can search by company name or by the contact's name.
  2. 2Set the statusInterested or has a requirement, set Buyer/Tenant. Owns their premises, set Seller. Inspection or meeting agreed, set Meeting Booked.
  3. 3Write a noteRecord what they actually said: the size they need, the timing, the lease expiry. In three months this is the difference between a warm call and a cold one.
  4. 4Watch the pipeline moveYour dashboard updates immediately, and the occupier appears under the In pipeline tab.
02

Handling the common replies

Handling the common replies

  1. 1Not right now, try us laterSet a note with the timing and leave them as Emailed. When a signal fires on that business later, you will already have the context.
  2. 2We own our buildingSet Seller. This is a disposal or sale-and-leaseback conversation, and it is one of the most valuable replies you can get.
  3. 3Too big or too smallNote the size they actually want. Next time you scan a property that fits, they are already in your database.
  4. 4No reply at allNormal. They stay as Emailed and stay monitored, so a future signal can give you a fresh reason to make contact.
Tips
  • A reply that is not a yes is still worth recording. Most CRE requirements arrive months after the first conversation, and the note is what makes the second conversation easy.

The Occupier Database

Every business you have ever scanned, in one searchable place, re-swept so it does not go stale. Neighbour scans, target scans and signals all feed the same database, so a company only ever exists once no matter how many times you find it. This is the asset that compounds.

The one-minute version
  • 1Every business you have ever scanned, in one searchable place, re-swept so it does not go stale.
  • 2The status row doubles as a filter. Not Emailed is your working to-do list.
  • 3Export CSV respects your current filters, so filter first and then export.

Reading a row

  2. 2LocationTheir own address, not your listing's.
  3. 3ContactsEither the named decision-maker you have revealed, or an Unlock N contacts link showing how many people are available at 1 credit each.
  4. 4From ListingWhich scan found them. Useful when you work one property at a time.
  5. 5StatusWhere they sit in your pipeline. You set this yourself, and it is the single most under-used control in Scayled.
  6. 6Last ActivityWhen anything last happened with that occupier.
03

Narrowing the list

Narrowing the list

  1. 1The status rowAll, Not Emailed, Emailed, Buyer/Tenant, Seller, Meeting Booked and Pipeline each act as a filter with a live count. Not Emailed is your working to-do list.
  2. 2All Listings & TargetsNarrow to the occupiers from one property, so you can work a single listing end to end.
  3. 3SearchSearches across company names, addresses and contact names at once.
  4. 4Show Revealed OnlyHide everyone you have not unlocked yet, so you only see actionable contacts.
  5. 5Mobile CatcherJump to the direct-mobile view for building a call list.
  6. 6Export CSVExports whatever is currently filtered, not the whole database. Filter first, then export.
Tips
  • Filtering by HAS SIGNAL is the highest-value move in the app: a business you already know, that is moving right now.
  • Export CSV respects your filters, so you can hand a clean, specific list to a colleague or your CRM.
  • The same occupier appearing on two listings is one record, with shared notes and contacts. Nothing is duplicated.

Statuses: Keeping Your Pipeline True

Every occupier carries a status, and you can change it at any time. This matters more than it looks: your dashboard pipeline is built entirely from these statuses. Scayled sets the first one for you, then it is yours to maintain.

The one-minute version
  • 1Every occupier carries a status, and your dashboard pipeline is built entirely from it.
  • 2Only Not Emailed and Emailed are automatic. Buyer/Tenant, Seller and Meeting Booked are yours to set.

Tips
  • Only the first two statuses are automatic. Buyer/Tenant, Seller and Meeting Booked are yours to set, and if you never set them your pipeline will read as if nothing is happening.
  • Set the status the moment a reply lands. It takes two seconds and it is what makes the dashboard worth looking at.
  • Seller is easy to forget. An occupier who owns their building is a disposal or sale-and-leaseback conversation, not a dead lead.
  • Use the In pipeline tab to see everyone past Emailed in one view before a Monday meeting.
Watch out
  • If your dashboard shows an empty pipeline while you are having real conversations, it almost always means statuses are not being updated, not that the outreach failed.

Notes & Occupier Detail

Click any occupier to open its detail panel. This is the single record for that business: who works there, what you have revealed, where they sit in your pipeline, and everything you have ever learned about them. Notes are how the knowledge in your head becomes knowledge your whole team can use.

The one-minute version
  • 1Click any occupier to open its full record: contacts, status, signals and your notes.
  • 2Notes follow the business, not the property, so context is there on every future scan.
  • 3Record the requirement, the timing and who you spoke to. Timing is most of the value in CRE.

What is worth writing down

What is worth writing down

  1. 1The requirementSize, type and location they actually want, in their words. This is what you match future listings against.
  2. 2The timingLease expiry, break clause, or the quarter they said they would revisit it. Timing is most of the value in CRE.
  3. 3Who you spoke toPeople move roles. Recording who said what protects you when your contact leaves.
  4. 4Why they said noA no on one property is often a yes on the next. The reason is the useful part.
Tips
  • Notes follow the business, not the property. If the same occupier turns up on three different scans, the notes are there every time.
  • Write the note while the call is still fresh. A one-line note today beats a perfect note you never write.
  • If you work in a team, notes are how a colleague picks up your conversation without ringing you first.

Mobile Catcher

Email is not always the right first move. Mobile Catcher gathers the occupiers where a direct mobile number is available, so you can build a call list in one pass instead of hunting through the database one row at a time.

The one-minute version
  • 1A focused view of the occupiers where a direct mobile is available.
  • 2Build a call list in one pass instead of hunting row by row.
  • 3Call the businesses carrying a live signal first. You have a real reason to ring.

Using it

  1. 1Open itMobile Catcher sits in the toolbar above the occupier table, and in the left rail where it is available for your region.
  2. 2Work the listOccupiers with a direct mobile are grouped together, so you can build a morning call list rather than searching for numbers.
  3. 3Record the outcomeAfter the call, set the occupier's status and write a note, exactly as you would after an email reply.
Tips
  • Call the businesses carrying a live signal first. You have a real reason to be ringing: they are expanding, relocating or approaching a lease event.
  • Your dashboard tracks Direct mobiles found under Coverage, so you can see this number grow as you scan more.
  • A direct mobile is a person's number, not a switchboard. Treat it accordingly and lead with why you are calling.
Watch out
  • Mobile numbers are region-dependent. If you do not see Mobile Catcher, it is not available for your market yet.

Ask Scayled

A research assistant for your market. Ask a question in plain words, about a company, a person, a market or an address, and Scayled looks it up live and shows you the answer with its sources: who the business is, who decides there, what it has been doing, and who else is like it.

The one-minute version
  • 1Ask about a company, a person, a market or an address, in your own words.
  • 2Answers come from live sources, with the company, its decision-makers, news and signals.
  • 3When a name could mean more than one business, it asks "Did you mean" instead of guessing.
01

What you can ask

AskFor exampleYou get
About a companyTell me about MainfreightWhat it does, size, locations, recent news and signals, and its decision-makers
Who decidesWho runs property at Bunnings NZ?The people in that role, ranked, with the option to find their email or phone
A marketWho is expanding in Dubai?Businesses taking, opening or growing into space there, with the evidence
An addressWho is at 20 Hugo Johnston Drive, Penrose? The businesses operating at that address
Look-alikesCompanies like DHL in SydneySimilar businesses, to widen a campaign
Your own listingWho should I send my listing to?It points you to a Target Scan, which is built for exactly that
02

Getting good answers

How to get the most from it

  1. 1Name the place"Who is expanding" is a question about everywhere. "Who is expanding in Wetherill Park" is a question it can answer well.
  2. 2Pick from Did you meanWhen a name matches several businesses (Apple versus Apple Towing), it shows them with their logos and websites. Click the right one, or add the company's website.
  3. 3Follow up in the same thread"Only the ones hiring", "who else" or "find his email" carry on from the last answer, so you do not have to repeat yourself.
Tips
  • "Who owns ..." is ambiguous. For a business at an address, it asks whether you mean the owner of the business or of the property. Property titles, rents, yields and lease expiries are not public, so it will say so rather than guess.
  • Ask Scayled is included in paid plans.

Territory Intelligence

This is the part of Scayled that works when you are not. Every business you have ever scanned is monitored continuously. When one shows evidence of expanding, contracting or relocating, it appears here as a scored signal, plotted on a live map of your patch and refreshed every fortnight.

The one-minute version
  • 1Every business you have scanned is monitored, and movement surfaces as a scored signal.
  • 2Show All Occupiers reveals your true coverage and the gaps in it. Satellite reads a site before you call.
  • 3Contraction is the most overlooked filter: a business giving space back is a disposal lead.

The idea is simple. By the time a requirement is on the open market, five brokers already know about it. A signal is the evidence that appears before that: a funding round, a hiring push, a new distribution centre, a lease running down. Scayled reads those continuously across your territory so you can make the call while the requirement is still private.

The map controls

  1. 1Show SignalsThe default. Plots only the businesses currently moving, so the map shows opportunity rather than clutter.
  2. 2Show All OccupiersPlots every business in your database. Use this to see your true coverage and, more usefully, the gaps in it.
  3. 3Dark / SatelliteSwitches the base map. Satellite is genuinely useful in industrial: you can read hardstand, yard space, dock doors and access before you pick up the phone.
  4. 4Full screenExpands the map when you are working the territory visually rather than reading the feed.
  5. 5The legendExpansion, Contraction and Relocation are colour-coded with live counts, so you can see the shape of your market at a glance.
02

Filtering the feed

Filtering the feed

  1. 1By stateAll signals, New, Revealed or Saved. New means anything from the latest fortnightly sweep.
  2. 2By typeExpansion means they need more space. Contraction means they may be giving space back, which is a disposal lead. Relocation means they are moving.
  3. 3By recencyAny time, 7 days, 14 days, or Stale. Stale signals are older and less likely to still be live.
  4. 4By listingNarrow to signals attached to one property, so you can work a single mandate.
  5. 5SearchFind a specific business by name across all your signals.
Tips
  • Contraction is the most overlooked filter. A business giving space back is a disposal instruction waiting to happen.
  • Signals refresh every fortnight on a paid plan. If yours are not refreshing, that is a plan setting, not a fault.
  • Load more signals sits under the feed. The count at the top is your true total, so if it says more than you can see, keep loading.
  • Check this page on a Monday. It is the closest thing in the app to being told what changed in your market last week.

Opening a Signal

Every signal opens into the evidence behind it. Scayled never asks you to trust a score on its own, because a signal you cannot explain is a signal you cannot act on. If you are going to ring a business about their expansion, you need to know what the expansion actually is.

The one-minute version
  • 1Every signal opens into the evidence behind it, so you never act on a score alone.
  • 2Read the Why before making contact. Referencing the specific event is what separates this from a cold call.
  • 3The action window tells you whether to call now or start a relationship for later.

CASS Inc. invests in advanced automation and sustainability at its Sparks facility, hires Facilities Manager.

Why: Heavily investing in sustainable manufacturing and advanced automation at its Sparks facility. The recent hire of a Facilities Manager signals operational change.

Takeaway: Monitor for facility upgrade permits or internal construction activity, and open a conversation about expansion space.

Action window: Q1 2027
A signal card: the score, what happened, why it matters, the broker action, and the timing.
01

Reading a signal

Reading a signal, part by part

  1. 1The score, out of 100How strong and how actionable the movement is. Anything in the 70s and above is worth a call. Treat it as a priority order, not a probability.
  2. 2The typeExpansion means they need more space. Contraction means they may be giving space back, which is a disposal lead. Relocation means they are moving, so both a requirement and a disposal.
  3. 3The headlineWhat actually happened, in one line. If you read nothing else, read this.
  4. 4WhyThe reasoning behind the score: what was found and why it points at a property need.
  5. 5TakeawayThe broker action. What to actually do about it, written as advice rather than data.
  6. 6Action windowWhen the requirement is likely to land, for example Q1 2027 or 6 to 18 months. Imminent means now.
  7. 7EvidenceThe underlying triggers and sources, with publication and date, so you can verify the claim before you repeat it to a client.
02

What you can do with it

What you can do with it

  1. 1Save itKeeps the signal in your Saved filter even after it would normally expire. Use this for the ones you are actively working.
  2. 2Dismiss itRemoves it from your feed when it is not relevant, so the feed stays worth reading.
  3. 3Open the businessJumps to that occupier's record, where you can reveal the decision-maker, read your notes and set a status.
Tips
  • Read the Why before you make contact. Referencing the specific thing that happened is what separates this from a cold call.
  • A high score with a distant action window is a relationship to start now, not a deal to chase today.
  • Check the evidence dates. A signal built on a six-month-old article is weaker than one from last week.

Acting on a Signal

A signal is only worth having if you act while the requirement is still private. This is different work from listing outreach, and it is worth understanding why: you are not writing about your property, you are writing about their business.

The one-minute version
  • 1Signal outreach is different work: you write about their business, not your property.
  • 2Three lines beats thirty. You are starting a conversation, not winning the instruction.
  • 3If the action window says imminent, call rather than email.

With listing outreach you have something to offer and you are casting wide. With signal outreach you have information: you know this specific business is expanding, contracting or moving. That changes the email completely. The occupier has not told the market anything yet, so a message that opens with your listing looks like a coincidence, while a message that opens with their situation looks like you understand their business.

01

Working a signal

How to work a signal

  1. 11 · Read the evidenceOpen the signal and read the Why and the Takeaway. Know what actually happened before you make contact.
  2. 22 · Check the action windowImminent or inside three months, call them. Six months or more, email and start a relationship.
  3. 33 · Reveal the decision-makerOne credit, exactly as anywhere else in the app.
  4. 44 · Write to the movementReference what is happening at their business first. Mention your property second, or not at all in the first email.
  5. 55 · Record itSet a status and write a note. Signal conversations run long, and the note is what makes the follow-up easy.
02

What a good signal email looks like

What a good signal email looks like

  1. 1Line one: what you noticedReference the specific, public thing. "I saw you are expanding the Sparks facility."
  2. 2Line two: why you are relevantOne sentence on what you do in that submarket. No paragraph about your firm.
  3. 3Line three: a small askOffer the detail or a short call. Do not ask for a meeting in the first email.
Tips
  • Three lines beats thirty. You are trying to start a conversation, not win the instruction in one email.
  • If the action window says imminent, pick up the phone. Email is too slow for a requirement that is already forming.
  • Signals often reach a business before they have appointed anyone. That is the whole advantage, so use it early.

Listing template · wrong here

Hi Morgan,

I noticed you operate out of 2455 Peru Dr, and we've just listed 1450 East Greg Street, so I thought it could be of interest.

We've listed the warehouse for lease, approximately 52,752 SQ.FT.

Reads as a coincidence. They have not told the market they need anything.
Written to the signal · right

Hi Morgan,

I saw CASS is investing in automation at the Sparks facility and has brought in a Facilities Manager.

We cover industrial across Sparks and Reno. If extra space is on the horizon, happy to send what is quietly available.

Worth a short call?

Opens with their business. Three lines. One small ask.
The same occupier, two emails. The one that works opens with their business, not your listing.
Watch out
  • Do not paste your listing template into a signal email. It throws away the one thing that makes signal outreach work, which is that you are contacting them about their situation rather than your property.

Settings

Five minutes here on your first day saves you from re-sending outreach later. These settings affect every scan you run and every email you send, so it is worth getting them right before you start.

The one-minute version
  • 1Five minutes here on day one saves re-sending outreach later.
  • 2Measurement unit drives every size in the app and in your emails. Set it before you send.
  • 3Set your email signature once and it is applied for you.
01

What to set, and why

What to set, and why it matters

  1. 1Full name and companyThese appear in your outreach through the Your name token. Spell them exactly as you sign off, because this is what the recipient reads.
  2. 2Measurement unitSQ.FT or SQM. This drives every size shown in the app and, more importantly, every size written into your emails. An occupier who reads the wrong unit will assume you do not know the building.
  3. 3Email signatureSet once and appended for you. Outlook and Apple Mail attach your saved signature automatically; Gmail Web does not, which is why Scayled adds it there.
  4. 4Send Gmail fromIf you signed up with a personal address but send from a work Gmail, set it here so the send button opens the right account instead of asking every time.
  5. 5BillingYour plan and credit balance. Credits reset each cycle. The fortnightly signal refresh is a paid-plan feature.
  6. 6SecurityChange your password.
Watch out
  • Set your measurement unit before you start sending, not halfway through. It changes how every size reads in outreach, and there is no way to un-send an email that quoted the wrong unit.
Tips
  • If your emails are going out without a signature, check here first. It is the most common cause.
  • Changing your name or company updates future outreach only. Anything already sent stays as it was.

Tips & Troubleshooting

The habits that separate an average month from a good one, and the answers to the questions that come up most.

01

A weekly rhythm

A sensible weekly rhythm

  1. 1Monday: read your signalsOpen Territory Intelligence and see what moved in your market. Work the highest scores with the nearest action windows.
  2. 2Tuesday: clear Ready to SendThose contacts are already paid for. It is the cheapest pipeline in the app.
  3. 3Midweek: run a scanOne new Neighbour or Target Scan a week keeps your coverage growing and feeds next month's signals.
  4. 4Whenever a reply lands: record itSet the status, write the note. Two seconds, and it is what keeps your pipeline honest.
02

Getting more out of Scayled

Getting more out of Scayled

  1. 1Always add multiple size optionsThe cheapest way to widen the pool of occupiers your listing suits. Your outreach then reads as a range rather than one fixed figure.
  2. 2Give the Target Scan the brochureThe PDF is the fullest description of the property, and your own notes alongside it are the input the software does not have.
  3. 3Filter the database by HAS SIGNALA business you already know, that is moving right now, is the warmest call available to you.
  4. 4Do not rewrite the template from scratchThe default is short on purpose. Long emails from brokers do not get replies.
  5. 5Keep statuses currentYour dashboard is only as truthful as the statuses you set.
03

Common questions

Common questions

  1. 1My scan is taking a whileNeighbour Scans take around five minutes, Target Scans about ten because each occupier is researched individually. They run in the background, so you can close the page.
  2. 2I got the wrong type of occupier backOn a Neighbour Scan, check the property type: Office narrows the radius, Logistics & Industrial widens it. On a Target Scan, check the plan before you run it: the property line (sale or lease, size) and the segments decide who is targeted. Adding the PDF brochure gives it the most to work from.
  3. 3A token showed literally in my email, like {{firstName}}That occupier was missing the underlying data. Always read the preview panel before sending.
  4. 4My signals are not refreshingThe fortnightly refresh is a paid-plan feature. You will see a banner on Territory Intelligence if it is not active.
  5. 5I cannot see all my signalsUse Load more signals under the feed. The count at the top of the page is the true total.
  6. 6My pipeline looks empty but I am having conversationsStatuses are not being updated. Only Not Emailed and Emailed are automatic; the rest are yours to set.
  7. 7My emails have no signatureSet it in Settings. Outlook and Apple Mail attach yours automatically, Gmail Web does not.
